Our Recruitment Process

We are continuing to conduct our initial interview process via online video, after successful shortlisting.

This will involve an interview with the projects team, and the company director.

If successful, the second stage of interviews with be task-based.

The final interview stage will be with Company Director.

Our studio is looking for a Company Administrator to join our Nottingham practice.

We are a small start-up business, we work remotely, where you will be working alongside the projects team.

We forge personal relationships to understand our clients’ and contractors’ needs, ensuring that our design schemes exceed our client’s expectations.

As part of our design team, you will experience communicating with our internal projects team via our internal CRM systems, whilst ensuring our designs exceeds our client’s expectations. You will be required to work independently, to meet project deadlines

As the administrator, you will oversee a wide range of responsibilities that include managing the administration, facilities, and general ad-hoc support throughout the business.

The ideal candidate will have strong analytical skills, a solid understanding of accounting principles, and the ability to work independently in a fast-paced environment.

Your Responsibilities

  • Answer incoming calls, taking phone messages, monitoring the post.

  • Communicating to our clients via emails, whilst archiving emails.

  • Meeting and greeting visitors attending the AN studios.

  • Strong communication and coordinating skills are required as you’ll be frequently liaising with internal and external teams, such as clients, contractors, and suppliers.

  • Managing supplies, stationery, and stock supplies.

  • Being responsible for booking, and setting up the meeting desk for client meetings.

  • Communicate and liaise verbally and in writing between clients, visitors, suppliers, enquirers, consultants, and relevant staff.

  • Establish and maintain effective working relationships with co-workers, consultants, and our clients.

  • Ensuring the project directory and system processes are kept digitally tidy and maintained for organisation reports.

  • Record, analyse, report, and administer according to our systems and requirements.

  • Managing diaries, traveling times, and collating data for the smooth running of the studio.

  • Adhere to health and safety policy and requirements relating to the data privacy of our clients.

  • Any other reasonable request as directed.

Knowledge Management

  • Share knowledge, experience, and lessons learned across the studio.

  • To be able to identify and prioritise tasks and use their own initiative to ensure tasks are completed within a timely manner.

Studio Contribution

  • Contribute proactively to wider studio projects and initiatives.

  • Develop and maintain a positive and professional relationship, internally and externally.

  • Contribute to promoting the studio culture.

  • Represent the values of our studio in internal and external activities.

  • Develop and maintain positive and professional relationships with both internal and external teams.

Your Experience, Skills, and Attributes

  • Previous experience as an administrator is essential.

  • Experience with Apple Mac OS.

  • Good command of Apple Mac OS iWork productivity suite; Pages, Numbers, and Keynote is necessary.

  • Resilient and determined.

  • A proactive approach to problem-solving.
