58. Meetings & Remote Location Check-in Policy
58.1. This policy is designed to ensure employee safety and accountability when attending meetings or working at locations away from the studio. By maintaining regular check-ins, we promote a culture of lone-working awareness and ensure timely assistance in case of emergencies.
58.2. This policy applies to all employees attending meetings, site visits, or any work-related activity conducted away from the main studio premises.
58.3. When attending a meeting or working remotely (e.g. site visit, client meeting), you must follow these communication steps using the Company’s Lone Working Group Chat.
58.4. Before Departure:
58.4.1. Share a message indicating the time you started your journey to the remote location.
58.4.2.  Include the destination and approximate arrival time.
58.5. Upon Arrival at the Remote Location:
58.5.1. Send a message confirming your arrival time and location.
58.5.2. Optionally include the expected duration of the meeting or visit.
58.6. Before Leaving the Remote Location:
58.6.1. Notify the group when you depart the location.
58.6.2. Indicate your expected return time to the studio or your start point.
58.7. Upon Returning
58.7.1. Confirm when you have safely arrived back at the studio or home base.
58.8. Employees are responsible for maintaining these communications consistently. Managers may follow up if check-ins are missed or incomplete.
58.9. Failure to follow this policy could result in delayed response during emergencies and may lead to a review under company procedures.
