62. Online Presence Policy
62.1 This policy outlines the expectations for employees when engaging in online activities that may reflect on or involve Architecture North Ltd.
62.2 It aims to protect the company’s reputation, maintain professionalism, and ensure clear boundaries between personal and professional digital interactions.
62.3 This policy applies to all employees, contractors, interns, and anyone representing Architecture North Ltd on digital platforms including but not limited to:
62.3.1. Social media (e.g., Instagram, LinkedIn, Twitter/X, Facebook, TikTok)
62.3.2. Professional forums or discussion groups
62.3.3. Personal blogs or websites
62.3.4. Online comments or public contributions referencing the company
62.4. Only authorised individuals may post on behalf of Architecture North Ltd using official company channels.
62.4.1 When identifying as an employee online (e.g. in LinkedIn bios), ensure that:
62.4.2 Job titles and affiliations are accurate.
62.4.3 All content aligns with the company’s values and professional image.
62.4.4 Opinions expressed are clearly your own, not official company statements.
62.5 Do not share or discuss confidential, proprietary, client-related, or project-specific information online, even in private messages.
62.5.1 Avoid posting identifiable images of clients, staff, or internal spaces unless authorised.
62.6 Maintain respectful and professional conduct across all online interactions, whether representing yourself or the company.
62.6.1. Avoid engaging in or promoting:
62.6.1.1. Discriminatory or offensive content
62.6.1.2. Negative commentary about colleagues, clients, or competitors
62.6.1.2. Political or religious statements that could be perceived as being endorsed by the company
62.7. Company logos, branding materials, templates, and imagery must not be used in personal online content without prior approval.
62.7.1. Personal portfolios that include work done at Architecture North Ltd must credit the company appropriately and not breach client confidentiality.
62.8 Employees may be invited to contribute to company social media (e.g., project updates, behind-the-scenes content)..
62.8.1 All such contributions must be reviewed and approved by the communications or management team before posting.
62.9 Personal online activity should not interfere with work responsibilities.
62.9.1. Use of personal devices for browsing or social media should be limited during work hours, except during breaks or with explicit permission.
62.10. Failure to comply with this policy may result in disciplinary action, including but not limited to the removal of posts, formal warnings, or more serious consequences for repeated or severe breaches.
62.11. This policy is reviewed annually and may be updated to reflect changes in technology, legal guidance, or business needs.
