82. Travel & Transport Policy
82.1. The purpose of this policy is to set out clear guidelines for employees when travelling on company business, whether using taxis, ride-hailing services (e.g., Uber), or other forms of hired transport.
82.1.1. The policy ensures that all travel is conducted safely, responsibly, and in line with company standards.
82.2. This policy applies to all employees, contractors, and temporary staff travelling on behalf of Architecture North Ltd.
82.3. General Travel Safety Requirements
82.3.1. All employees must wear a seatbelt at all times, regardless of whether they are the driver or passenger.
82.3.2. Employees must not travel if unfit to do so (e.g., under the influence of alcohol, drugs, or medication that impairs driving or judgment).
82.3.3. The use of mobile phones while driving is strictly prohibited unless via a legally compliant hands-free system.
82.3.4. All travel must be conducted in a professional, safe, and respectful manner,
82.4. Use of Taxis & Ride-Hailing Services (e.g., Uber)
82.4.1. Employees must only use licensed and reputable services.
82.4.2. Always confirm the driver and vehicle details before entering the vehicle.
82.4.3. Seatbelts must be worn at all times.
82.4.4. Employees should avoid sharing personal contact details with drivers and should not engage in unsafe behaviour.
82.4.5. Where possible, bookings should be made via company accounts for record-keeping and safety.
82.5. Expense & Booking Guidelines
82.5.1. All travel must be pre-approved by management or in line with project requirements.
82.5.2. Receipts should be retained and submitted in accordance with the company’s expense policy.
82.6. Lone Travel Safety
82.6.1. Employees travelling alone should share their travel details with their line manager or team via the company’s lone working group chat.
82.6.2. Inform colleagues upon arrival and departure from a location.
82.6.3. Avoid unsafe or unlit areas when waiting for transport.
82.7. Responsibilities
82.7.1. Employees must follow this policy and exercise responsibility for their own safety.
82.7.2. Line Managers must ensure employees are supported with safe and practical travel arrangements.
82.8. Failure to follow this policy, especially regarding seatbelt use or unsafe behaviour during travel, may result in disciplinary action.
